Privacy Policy

This policy explains what we collect when you request a certified translation, why we collect it, how long we keep it, and the choices you have. It covers this page and the quote request form on it.

Who We Are

This page is operated by The Arabic Studio, an independent language service provider based in Zagazig, Egypt. The Arabic Studio is the data controller for the information described here. We are not affiliated with, or endorsed by, any government authority. For any question about this policy or your data, write to Projects@TheArabicStudio.com.

Information You Give Us

When you submit the quote form we collect your full name, email address and WhatsApp number, together with the source and target languages, the document type, the authority you plan to submit to, your required delivery date, and any notes you add. We also receive the files you upload.

Your Uploaded Documents

Uploaded files are stored in a private folder on our server that is blocked from public access, and are opened only by the team members assigned to your project. We never sell, publish, or use your documents for anything other than preparing and delivering your translation. A non-disclosure agreement is available on request at no extra cost.

Information Collected Automatically

We record the campaign parameters carried in the link you arrived through (utm_source, utm_medium, utm_campaign, utm_content, utm_term), the address of the page you landed on, and which language version you viewed. Your browser also stores your language choice on your own device so we can open the right version next time. We do not log your IP address.

Cookies and Measurement Tools

Essential cookies keep this page working and remember your language choice; they are always active. Analytics and advertising cookies — Google Analytics 4 and the Meta (Facebook) Pixel — measure how our advertising performs, for example how many people opened the page and how many completed the form. We load these only after you accept them in the cookie banner, never before. They may receive information about your device and browsing, but never the contents of your documents. You can change your choice at any time using the cookie settings link at the bottom of this page, or block cookies in your browser.

Why We Use Your Information

To review your documents and prepare an accurate quote; to produce and deliver your certified translation; to contact you about your request by email or WhatsApp; and to measure and improve our advertising. We do not make automated decisions about you.

Legal Basis for Processing

Where the EU or UK GDPR applies to you, we rely on the following legal bases. Performance of a contract: to review your documents, prepare your quote, produce and deliver your translation, and communicate with you about your order. Consent: to set analytics and advertising cookies, which we do only after you agree and which you may withdraw at any time. Legitimate interests: to keep records of completed work and to protect our service from misuse. Legal obligation: where a law requires us to retain or disclose information.

Who We Share It With

Your request is delivered to our own email system so the team can act on it. Certified translators and reviewers assigned to your project — including external linguists engaged under written confidentiality and data-protection agreements — may open your documents in order to carry out the translation. Our email and hosting providers process the data on our behalf. Advertising and analytics data is processed by Google and Meta as described above, and only where you have consented. We do not sell your personal information to anyone.

International Transfers

The Arabic Studio operates from Egypt, so your documents and contact details are processed in Egypt. Because we offer our services to people in the European Economic Area and the United Kingdom, the EU and UK GDPR apply directly to that processing. When you upload your documents to us yourself, you are providing them to us directly rather than through a European intermediary. Separately, some of our service providers — including the analytics and advertising providers named above — process data in the United States; for those transfers we rely on the safeguards built into their terms, such as the European Commission’s Standard Contractual Clauses. You may ask us which safeguards apply to your data.

How Long We Keep It

We keep your uploaded documents for 90 days after we deliver your translation, so that we can handle any correction the receiving authority may request, and then we delete them. Your name, contact details and order record are kept for as long as we need them for accounting and for handling any later query about the work. You can ask us to delete your documents sooner at any time and we will do so, unless the law requires us to keep them.

Your Rights

You may ask for a copy of the personal information we hold about you; ask us to correct or delete it; ask us to restrict or object to how we use it; and ask us to provide it to you or to another provider in a portable, machine-readable format. Where we rely on your consent — for example for analytics and advertising cookies — you may withdraw that consent at any time, without affecting processing carried out before you withdrew it. If you are in the European Economic Area or the United Kingdom, you also have the right to lodge a complaint with your national data protection authority.

Security

Uploaded files are kept outside the publicly reachable part of the website, and access is limited to the people working on your project. No method of transmission or storage is completely secure, but we take reasonable measures to protect your information.

Children

This service is intended for adults. We do not knowingly collect personal information directly from children. A parent or guardian may of course submit a child’s document, such as a birth certificate.

Changes to This Policy

We may update this policy from time to time. The date shown at the top tells you when it last changed.
