Preparing documents for Arabic translation and formatting
A translated document needs to communicate its meaning and remain usable in its final format. Before translating a report, presentation, manual or company profile into Arabic, agree how the source layout and delivery files will be handled.

An editable Word document, presentation or spreadsheet makes text, tables and layout easier to assess than a flattened scan. Send the original alongside a reference PDF when you have both. Identify the approved version and remove superseded drafts from the translation set.
If only a scan is available, include every page at readable quality. Text extraction, manual preparation or layout reconstruction may be needed. Feasibility, formatting effort and delivery timing should be confirmed after the files are reviewed.
Separate language from layout decisions
Arabic reads from right to left, while Latin names, codes and many numerical sequences retain their own direction within the surrounding text. W3C’s bidirectional-text guidance illustrates why a mixed-script line needs more than simple right alignment.
For documents, review reading order, list alignment, punctuation and table content in the final file. A chart’s business meaning or an established column order may need to stay intact. Agree the layout instead of assuming every element should be reversed.
Check the details that carry meaning
Original illustrative example: a stock table contains product code ‘AB-204’, quantity ‘12’ and unit price ‘125.00’. After translation, the Arabic column headings must still identify the correct values, and the code must remain unchanged. Check the row as a whole, not only each translated label.
Supply preferred spellings of names, an approved glossary and any required conventions for dates, units or currency. Flag totals, footnotes, cross-references and repeated terminology. These details matter in reports and manuals as much as the paragraphs do.
Include the content outside the main text
Presentations may contain speaker notes, diagrams and text embedded in images. Reports may include headers, captions and annexes. Tell us which elements need translation and whether their editable originals are available.
- Identify charts, screenshots and graphics containing words.
- Confirm whether notes, comments and hidden slides are in scope.
- Provide the brand template or font requirements when relevant.
Agree what a usable final version means
Specify whether you need an editable document, presentation, spreadsheet, final PDF or more than one format. Allow for changes to line breaks and page length; identical pagination is not assumed. Complex artwork or publication layout can require a separately agreed design scope.

Is document formatting the same as certification?
No. Formatting concerns readability and file presentation. Certification adds a statement, signature or stamp when required; suitability depends on the receiving authority’s requirements.
