Certified, Notarized and Sworn Translation: Which Do You Need?
The word ‘official’ does not describe one universal translation package. A declaration of accuracy, a translator’s professional credential and notarization serve different purposes. The receiving organisation’s instructions determine the route.

A certified translation typically accompanies the translated document with a declaration about its accuracy. The required signatory, wording and details vary by recipient. For USCIS, the cited US regulation specifies completeness, accuracy and the translator’s competence; the UK visitor guide specifies accuracy confirmation, date, name, signature and contact details. Check the actual requirement rather than relying on a generic stamp.
Certified translator: the practitioner’s credential
A practitioner’s certification or professional-association membership is different from issuing a certificate with a translation. NAATI, for example, maintains a directory to verify individual practitioner credentials. Some Canadian immigration instructions define professional-association membership and stamping requirements or a separate affidavit route. A company declaration is not evidence that the individual has such a credential.
Notarization: a separate formal step
Notarization involves a notarial act under the applicable process. The required act and person authorised to perform it depend on the country and recipient. Do not infer that notarization certifies the linguistic quality of a translation or that every certified translation must be notarized. Send the recipient’s wording so the correct act can be reviewed.
Sworn translation and legalisation
A sworn translator’s status is tied to the relevant jurisdiction. Apostille or legalisation is another process for authenticating the relevant public document or signature; it is not a replacement for the translation. The appropriate route depends on where the document is issued, where the translation is prepared and where it will be submitted. A translation provider must confirm the actual delivery route before promising it.
